This privacy policy explains how Richard Greenwood Photography collects, uses and protects any personal information
that you provide when using any photography service provided by Richard Greenwood Photography or via the website
(https://www.rgschoolphotos.co.uk) and are in line with GDPR 25.5.18. Any personal information by which you can be
identified will only be used in accordance with this Privacy Policy and Richard Greenwood Photography is committed to
ensuring your privacy is protected.
This privacy policy covers the www.rgschoolphotos.co.uk website and photography services provided by Richard Greenwood Photography, Stafford, ST18 0SY and Richard Greenwood Photography governs the privacy of its customers and users of the website.
When we collect information
Personal information is only collected when a photography sitting is arranged with Richard Greenwood Photography,
including studio sessions and school and nursery photography sessions and also when an order is placed either via
the school/nursery proof card or via email.

Schools and Nursery sessions
When Richard Greenwood Photography is appointed to take school or nursery children individual or class photos it is
necessary for the each parent/guardian to give written permission to the school or nursery to allow the child to be
photographed. It is the schools responsibility to exclude any children from the photo session if they do not have written
permission.
We may capture the following data at school or nursery sessions:
Your child’s individual photo
Your child’s individual and sibling photo
Your child and family members’ photo
Your child’s class photo (including sports teams, graduation groups or any other group photo requested by the school
or nursery)
Staff photos
Every child that is photographed receives an A4 sized proof card displaying the child’s copyrighted photos. The
parents can place an order by filling in the relevant boxes on the proof card and returning the proof card and correct
payment via cash or cheque to school by a given date on the proof card.
If digital photos are required to be sent via email, parents/guardians are required to email Richard Greenwood
Photography to ensure that the photos are sent to the correct email address.
There is no option to view or download photos from the www.rgschoolphotos.co.uk website, however in some cases
parents/guardians can request to see any additional photos other than the ones received on their proof cards, in this
instance photos will be emailed to the parent/guardian once they have sent an email for their request.
Any data gained during the proofing and ordering process is for the successful process and delivery of your order.
All photos taken by Richard Greenwood Photography are stored on a secure external hard drive (only accessible by
Richard Greenwood Photography and also backed up on a password protected NAS Drive. Photos are only deleted
when requested to by a school, nursery or parent/guardian. Photos stored on the 1st Imaging secure server will be
deleted 6 months after all orders have been completed.
Sharing your personal data
Once orders have been collected and processed, the proof cards are posted 1st Class to the 1st Imaging Print Lab and
a digital copy of your child’s photos will be transferred via a secure FTP (File Transfer Protocol) to the 1st Imaging Print
Labs secure password encrypted servers for the orders to be fulfilled and returned via Parcelforce 24hr courier
service.
The only time your personal data is shared is when an order has been requested to be posted to an address other
than the school or nursery where the photos were taken. In this case only your name and address will be provided via
email to the 1st Imaging Print Lab. Once the order has been sent, the email is kept on their email system for 1 week
and then deleted. 1st Imaging will never share your personal data.
Richard Greenwood Photography will never share or sell personal data with any other third party company.
Data protection
Richard Greenwood Photography is committed to ensuring that your personal data is secure and to prevent any
unauthorised access, suitable managerial and electronical procedures are in place to protect any data that is
collected.
Accessing your personal data
You may request details of personal information which we hold about you under the Data Protection Act 1998. Please
email rich@rgphotos.co.uk to request a copy.
Data Breach
In the unlikely event that you feel your data has been misused or is incorrect please contact Richard Greenwood
Photography as soon as possible on 07952 058870 or email rich@rgphotos.co.uk explaining your concerns. Richard
Greenwood will investigate your concerns and will respond within 5 days and any incorrect data will be corrected.
